Use this feature to analyze your existing job architecture and discover automation potential for each duty across multiple technologies. The built-in AI agent assesses every duty in a job against three automation technology types — GenAI, Business Process Automation, and Industrial Automation — and estimates how much of the job’s time each duty accounts for.

When to use this feature

  • You already have a job architecture with defined duties and want to uncover automation potential for those duties.
  • You want to go beyond generic standard duties and use your own organisation-specific duties as the basis for automation analysis.
  • You need a consistent, data-driven view on how BPA, GenAI, and Industrial Automation can support or replace parts of existing jobs.

Before you start

  • You have at least one job already created in your system.
  • Each job you want to analyse has a clear job name.
  • Each job includes a list of duties that reflect the work actually performed.

Without duties, the AI agent cannot calculate automation potential.

How to use it

Run automation potential for a single job

  1. Open the job you want to analyse and review its duties to make sure they are up to date and clearly described.
  2. Locate and trigger the function to generate automation potential for this job.
  3. Confirm that you want to run the AI agent for this job. The system will start processing all duties in the job.
  4. Wait for the analysis to complete. Allow approximately 10 to 30 seconds per job.
  5. Once the process is finished, review the generated automation potential and estimated timeshare per duty.

Run automation potential for a whole job library (Bulk mode)

Bulk mode uses the same generation process as for a single job but provides a more
convenient way to process a large number of jobs at once.

  1. Navigate to the Automation Evaluation page in your job library.
  2. Click Generate automation.
  3. Select whether you want to generate automation potential for the Current or Future profile using the profile selector in the toolbar.
  4. The system will process all eligible jobs in the library. Allow approximately 30 seconds per job.

When can a job be processed in Bulk mode?

  • The job exists in the library.
  • The job has duties that are filled in and complete.
  • Automation potential has never been generated for that job before.

If automation potential has already been generated for a job, it cannot be regenerated
unless the job name has been changed, or duties have been modified (added, removed, or updated).

Bulk mode statuses

Status Description
Not generated The job is ready — automation potential can be generated.
Unavailable Duties are missing for this job. Automation potential cannot be generated.
Generated Automation potential has been successfully generated.
Manual Automation potential was added manually or has been edited by the user after generation.
Failed Something went wrong during generation. Run generation again for this job.
Running Generation is currently in progress.

Important: When a job is regenerated, the agent replaces all existing automation data for that job, including the job automation summary, duty capacity, duty automation technology values (IA, GenAI, BPA), and duty automation explanation summaries.

What you get from the analysis

For each duty in the analysed job, the AI agent generates:

  • Business Process Automation (BPA) potential – how suitable the duty is for workflow and process automation tools.
  • Generative AI (GenAI) potential – how suitable the duty is for support or partial automation by generative AI solutions.
  • Industrial Automation potential – how suitable the duty is for automation via physical equipment, robotics, or industrial systems.
  • Estimated timeshare per duty – an estimate of the share of total job time spent on that duty, based on data and models.

These outputs help you quickly see where different automation technologies can be applied and how significant each opportunity is in terms of time spent.

Editing the estimated timeshare

Timeshare values are data-driven suggestions. They may not fully match your internal standards or measurements. You can edit and adjust them after generation to reflect your own benchmarks, studies, or expert input. Updating timeshare values does not change the underlying automation potential assessment – it only updates the time distribution across duties.

Tips and best practices

  • Write clear, specific duties before running the agent. Data quality depends strongly on the quality of your job and duty definitions. Clear, specific, and up-to-date duties lead to better results.
  • Adjust timeshare to reflect your reality. Since no universal industry standard exists for time distribution across most roles, timeshare values can vary. Update them to reflect the actual time distribution within your organisation.
  • Export or record existing data before regenerating. Running the agent again replaces all previously generated data for that job. If you want to preserve a previous version, copy the values before triggering a new generation.
