User management is a core part of any identity and access management. Compiling user data and providing access to the smartApps resources are performed in the Ludi Cloud user management system. Use this system to create user accounts and further manage them.

Here you can assign user roles and edit user account permissions, edit sign-in status, reset passwords, delete users, and more.

Privacy status for users added to the system manually is defined under User settings on the Settings page. By default, it is set to private. When importing users to Ludi Cloud either via batch import or via pipelines, the privacy status (private or public) can be defined directly in the import file. This setting has a higher priority and overwrites the Default privacy setting.

You can view the total number of users added to the system.

To pick out the result that matches you most closely or just to make a large number of user records easier to work with, you can sort a list of users in ascending or descending order.

The available filters can help you see only those users’ entries that you want. You can filter by:

  • app roles per each smartApp,
  • privacy status,
  • last login date.

Add user

To add a user, follow the steps listed below:

  1. Log in to the Ludi Cloud user management system.
  2. On the navigation menu, click Setup, and then click Users.
  3. On the Users page, click + Add users. As a result, the Add user pane opens.
Add user: Account

In the Add user pane, you can see four steps to follow and add a user account:

  • Account
  • App roles
  • Settings
  • Optional
  • Review

Account

On this step, fill out basic user account information: first name, last name, username, email, and define the password: automatically generate a password or create the one yourself.

Username is an entity used to identify a user in the system. It can be a user’s email. If so, the email defined as a username will be automatically copied to the email field.

Once you are done, click Next.

Application roles

On this step, assign applications and custom roles on top of the default roles to the user you are creating. To learn more about user roles and access permissions, see Roles & access.

Once you are done, click Next.

You cannot change roles set by default.

Add user: App roles

Settings

On this step, manage the following user settings:

  1. App language. Define a language for the application.
  2. Teams. Assign a user to a team as a team member or a team leader.

Under Teams, you can see a list of teams added on the Teams page. Select the one to which you want to assign the current user.

Once you click a team, the team pane opens. Here you can assign the current user to one or more team leaders (depending on the current team settings defined on the Teams page). To this end, under Assigned to, search for a team leader, and then select the one from the list of suggestions.

In addition, you can define the current user as a team leader and assign the other users to the current user. To this end, use the Team lead for search box to find users and assign them to the current user as subordinates.

Once you are done, click Save to save changes, close the pane, and continue defining the other settings.

To proceed to the next step, click Next.

Optional

On this step, add optional information about the user: current job, location, phone number, etc. You can leave the fields empty and skip the step.

Click Next to proceed.

Review

On this step, you can view information you filled out on the previous steps. If you need, you can edit user account details by clicking Edit and navigating back to the corresponding step.

Once you are done, click Save to save user account details you have defined and close the pane.

Import users

In addition to adding each user account to the system manually, you can add multiple users via the Import users function. While importing user accounts to Ludi Cloud, you can select between the following options:

  • Add new users
  • Update existing user accounts

To start importing users to the Ludi Cloud user management system, on the the command bar of the Users page, click Import users. Afterwards, select an import option, and then download the template. Once you have filled in the template, upload it.

Use import to update data for existing users if the email provided is an exact match to the existing one in the system.

Export users

From the Ludi Cloud user management system, it is possible to export the following data:

  • User overview
  • User details & access

To start exporting users from Ludi Cloud, on the the command bar of the Users page, click Export, and then click User overview or User details & access depending on which data you want to export.

It is possible to export the details either of all users available in the table or of the selected ones.

Edit user

To view a user account details or edit them, first, locate the user record in the list (to this end, you can use the search box), and then click it. As a result, the user account pane opens. On the Account tab of the pane, you can find user account information. Information about user roles is available on the App roles tab.

Make the changes you need to edit the user account, and then click Save.

Use the Teams tab to modify team settings for the current user. Here you can assign the user to one or more team leaders or remove team leaders for the user. In addition, it is also possible to assign new users to a team for which the current user is a team leader or delete the ones who have been previously assigned.

Before applying any change, select the team for which you want to edit settings. Within that team record, you can see how many users are already assigned to the team. Click the team record to open the team pane.

To assign a team leader to the current user, follow the steps listed below:

  1. Under Assigned to, search for a user you want to assign as a team leader using the search box.
  2. Now that you have located the user, you can see that user’s email address and how many team leaders this user has. Click that user record to add it to the current user as a team leader.
  3. To save changes, click Save.

Based on the team settings, a user can be assigned either to only one or more team leaders.

To remove a team leader for the current user, first, point the user entry, and then click a trash icon within it. Once done, click Save.

To assign a user to the current user, follow the steps listed below:

  1. Under Team lead for, search for a user you want to assign using the search box.
  2. Now that you have located the user, you can see how many team leaders this user has. Click that user record to add it to the current user.
  3. To save changes, click Save.

To remove a user from the team for which the current user is a team leader, first, point the user entry, and then click a trash icon within it. Once done, click Save.

If no teams have been created yet, click Open teams. As a result, you are redirected to the Teams page of the Setup menu, where you can add a new team.

Assign users to team

You can also edit a signin status for a user. To this end, first, select a checkbox within a record of the user for whom you want to edit the status. On the command bar, click Edit sign-in status, and then click Block sign-in or Allows sign-in depending on your needs.

To delete a user account, select a checkbox within a corresponding user record, and then click Delete user.

Reset password

To reset a password for a user, follow the steps listed below:

  1. Locate the user record in the list (to this end, you can use the search box), and then click it.
  2. In the user account pane that opens, click Reset password.
  3. In the Reset password pane that opens, select either to automatically generate a password or create it yourself.
  4. Click Reset password.
  5. Once the password is reset, close the Reset password pane by clicking Cancel at the bottom of the pane or a little cross in the upper right-hand corner of the pane.
