In-app onboarding
New users may need some guidance to first get accustomed to a smartApp. As an administrator, you can make it possible for them to get an interactive experience to go through the steps and complete key tasks within smartPeople. The feature is enabled in the Ludi Cloud tool.
To this end, follow the steps listed below:
- Log in to the Ludi Cloud user management system.
- On the navigation menu, click Setup, and then click Settings.
- To make in-app onboarding processes available for new users, turn on the In-app onboarding toggle under Onboarding.
Changes you make are saved automatically and take effect immediately.
Manage the system behavior for the deletion and restoration of users.
Deletion by user
Define what happens if the user deletes his own account.
- Allow restoration
User data is soft-deleted and no longer displayed in smartWork. Users can be restored via “Ludi Cloud – Deleted users” or using a pipeline. - Block restoration
User data will be completely deleted. Restoration will not be possible
Deletion by admin/system
Define what happens if the user gets deleted by an admin or pipeline.
- Allow restoration
User data is soft-deleted and no longer displayed in smartWork. Users can be restored via “Ludi Cloud – Deleted users” or using a pipeline. - Block restoration
Admin:
User data will be completely deleted. Restoration will not be possible.
System import & Pipeline:
User data will be completely deleted at the beginning of the next day. Restoration will not be possible afterwards.
Keep deleted user information
Define how long you want to keep the information of deleted users to restore them.
Delete inactive users
You may have various reasons why you want to delete inactive users, for example, keeping your database as small as possible, or keeping only necessary user data, etc. Anyway, you can do it using the User settings in Ludi Cloud.
To this end, follow the steps listed below:
- On the navigation menu, click Setup, and then click Settings.
- Under Delete inactive users, set a period of time after which you want inactive users to be automatically deleted. You can choose between the following values:

- Never (default value)
- 3 months
- 6 months
- 12 months
- 24 months
Changes you make are saved automatically and take effect immediately. Thus, users who were inactive for the specific period of time, are immediately deleted. In addition, the cleanup process will run every period in time in the future or never depending on the value you set.
You can set the new users’ profiles default to private or public. To this end, follow the steps listed below:

- On the navigation menu, click Setup, and then click Settings.
- Under Default privacy, set default to Private or Public.
Once you define to make profiles for all new users you add to the system as private, those user profiles will be anonymized in smartPeople. Only basic details (the current job and skills) will be shown.
If you set new users’ profiles default to public, those user profiles will be visible for all the users of smartPeople.
Changes you make are saved automatically and take effect immediately.
The setting does not affect users already existing in the system.
If you decide to import new users to Ludi Cloud via the Excel template, the Privacy value you define in the import file overwrites the defined Default privacy setting.
You can turn on the possibility for smartPeople users to contact their colleagues via Microsoft Teams. To this end, follow the steps listed below:

- On the navigation menu, click Setup, and then click Settings.
- Under Communication, turn on the Microsoft Teams integration toggle.
Once turned on, users get the possibility to send a message to their colleagues from such areas of smartPeople as Talents, Posts, and My teams.
You can select default roles per each available smartApp. To this end, follow the steps listed below:

- On the navigation menu, click Setup, and then click Settings.
- Under Access, select a checkbox next to the role you want assign as default.
Once defined, these roles are assigned by default to each user already added in the system as well as new users that will be added to the system. With that, it is still possible to additionally assign custom roles to each user while manually adding that user to the system or editing that user’s record on the Users page. In that case, default user roles defined on the Settings page cannot be changed on the Users page.
