Roles

There are four main types of user roles in smartPeople:

User

As a user of the User role, benefit from the smartPeople platform by creating your professional profile, and thus, sharing more about your jobs, skills, locations, interests, and what makes you a unique candidate.

Having created an effective and compelling professional profile, you get great opportunities to receive high matching scores and fit even more jobs, tasks, or events posted by others.

By defining skills to develop, you can get a variety of trainings to undergo.

To see information about your teams as well as find your team members quickly and easily, you can use Team management and My networks.

Go to Dashboard and take advantage of the at-a-glance view of recommendations, activities, job opportunities, and other tips relevant to your profile data.

Tap into the power of the smartPeople feature that allows you to export your profile and save it as a PDF.

Benefit from posting your own jobs, tasks, or events and find the right candidates to fulfill them in the most professional way. The feature becomes available if the system is set up accordingly.

Stay informed about activities in smartPeople with the Notifications feature.

To reach out to and connect with your colleagues quickly and easily, tap into the power of the MS Teams integration feature.

Access the Learning & Development area to create your development plans and build your career.

Depending on the Admin settings, you can also get access to the Analytics area in general or in particular to its specific sections.

Access rights
  • Create and edit your own profiles (add and manage profile pictures, skills, jobs, locations, as well as an email (except for SSO), first and last names).
  • Edit profile slogan.
  • Save profile as PDF.
  • View your own profile details.
  • Create your career development plan, develop your skills, and find the right trainings.
  • View information about your teams and reach out your team members via MS Teams.
  • View recommendations, activities, job opportunities, and other tips relevant to your profile data.
  • View and interact with jobs, tasks, and events that are posted by others. The possibility can be restricted by the Administrator.
  • Post jobs, tasks, or events to look for matching candidates. The possibility is turned on and set up by Administrator.
  • Get and view notifications.
  • Network: invite colleagues to your network, respond to invitations from your colleagues, view and manage connections, as well as view information about your teams.
  • Posts: if turned on and set up accordingly by the Administrator, view a skill profile as well as matching skills of those candidates whose profiles are set as private. If candidates with private profiles show their interest in your posts, it becomes possible to view also those candidates’ contact details. Once you accept such candidates, their profiles become public, and you can reach them out via MS Teams. For candidates with public profiles, the Matching, Job history, Skill profile, and User details tabs are shown.
  • Talents: view jobs, skills, and user details of other users’ profiles if they set as public, reach them out via MS Teams; view only skills for those set to the private mode.
  • Learning & Development: build the career, develop skills, add and manage trainings.
  • Analytics: access the area in general or in particular its specific subareas depending on the Admin settings.
HR

The HR role gives you the same privileges as the User role. Above this, you can post jobs and get the best-fit for these vacancies. This gives you a possibility to enable the talent mobility in your organization.

Using the Talents finder feature, you can even deeper understand your workforce’s skill set for further developing your people individually and offering them new career possibilities.

You have access to the relevant information of user profiles. Thus, you can view skills, jobs and trainings in the Talents area for profiles set to private. If these are public profiles, you can view also locations and user details on top of it.

You can view career development steps, skills to develop, and trainings of other users (with both private and public profiles) in the Learning & Development area.

In addition, you can see a job history in the Posts area.

If provided by the Admin, you can access the Analytics area or its subareas to get transparency on which skills and jobs are available in your organization, identify skill gaps and critical skills, analyze the app usage details, or export data from smartPeople.

Using the tool, you can empower the individual development of employees aligned with the company’s strategy and market trends.

Access rights

Same access privileges as the User role has, plus:

  • Post jobs to look for matching candidates.
  • Move candidates records between tabs in the Matching results pane.
  • Talents: view skills and jobs of the user profiles set as private.
  • Posts: view job history of user profiles set as private; reach them out via MS Teams once such users accept a post invitation.
  • Learning & Development: view career development steps, skills to develop, and trainings of other users (with both private and public profiles).
Moderator

Above all stated for the HR role, you, as a user of the Moderator role, have a possibility to supervise employees’ profiles in smartPeople by editing them. Thus, you can support employees and help them to make their profiles more attractive, visible, and appealing. You can access employees’ profiles via the Talents area.

In addition, you can view employees’ profiles in private mode both in the Talents and Postings areas as well as edit career development steps, skills to develop, and trainings of other users (with both private and public profiles) in the Learning & Development area.

Access rights

Same access privileges as the HR role has, plus:

  • Talents: view and edit profile information of other employees, view contact details (for both public and private profiles) as well as save a copy of the other employees’ profiles as a PDF. Reach out users, whose profiles are set as private, via MS Teams.
  • Posts: get access to private profiles and view them, reach out such users via MS Teams.
  • Learning & Development: edit career development steps, skills to develop, and trainings of other users (for both private and public profiles).
Admin

As an Admin, you are responsible for setting up your organization environment. Being granted access to the Admin area of smartPeople, you can manage general settings, libraries, and feature access of the application, as well as import different data types such as job and task posts, users’ jobs and skills.

Access rights

Same access privileges as the User role has, plus:

  • Set up:
    • General settings
    • Libraries
    • Data import
    • Feature access
      • Posts & Browse for user roles: turning on the feature itself as well as defining app roles to grant access to posts of any type in the Posts area and settings criteria to restrict access to posts in the Browse area
      • Talents for user roles
      • Learning & Development as well as additional features
      • Analytics and its areas for app roles and teams
      • Data import for app roles and teams
      • Network
      • Skill validation (for all skills or skills that require validation)

Team leader access rights

As a user of any role, you can be assigned as a team leader. Once you become a team leader, you get access to the Team management area in smartPeople, and thus, can start managing your teams and doing succession planning.

A team leader can be additionally granted the moderator access rights.

Team leader without moderator rights

Same access privileges depending on the assigned role, plus:

  • Access the Team management area:
    • Search for team members
    • View team members’ profiles
    • View team members’ contact details
    • Contact team members via MS Teams
    • Assign and manage requirements per talent and per job
  • View team members’ profiles (both public and private profiles).
  • View team members’ skill details as well as download files to confirm the team members’ qualification.
  • View team members’ trainings in the Learning & Development area.
  • Access and view the team analytics.
Team leader with moderator rights

Same access privileges as the team leader without moderator access rights has, plus:

  • Edit team members’ profiles (both public and private profiles).
  • Manage skill details.
  • View and edit all Learning & Development goals for team members (both public and private profiles).
