Libraries

Use the Libraries tab of the Administration area to manage the availability of job or skill libraries, or both for the smartPeople system, so users can deal with standardized jobs and skills while working with smartPeople. Libraries are primarily created and managed in smartLibrary.

You can connect, edit, or deactivate a library for each of the following categories:

  • Future jobs
  • Current jobs
  • Past jobs
  • Job postings
  • Training library
  • Skill libraries

Connect library

To connect a library, follow the steps listed below:

  1. On the Libraries tab of the Administration area, expand a category section to which you want to connect a library, and then click + Connect library.
  2. In the Connect library dialog that appears, select a library from the library box, and then click Add.
  3. As a result, the library is connected and shown in the list of that section to which you have connected the library. From now on, a user can select a future, current, and past job or search among skills defined in that library.
Libraries

You can assign more than one library for each section: it is possible to use the HRForecast library or your company library, or both.

For every section, a number is shown within its title denoting a number of libraries connected to the current library.

Edit library

To edit a library, follow the steps listed below:

  1. On the Libraries tab of the Administration area, expand a category section within which you want to edit a connected library.
  2. In the list, select a library you want to edit, and then click a redirect icon within that library record.
  3. As a result, you are redirected to the smartLibrary application where you can edit that library by adding, for example, new specific skills, or changing a name for the existing job to make it more relevant, etc.

Only libraries created by the client can be edited. You are not allowed to manipulate the HRForecast library content though. You can only view or use it.

Deactivate library

To deactivate a library, follow the steps listed below:

  1. On the Libraries tab of the Administration area, expand a category section for which you want to deactivate a library.
  2. In the list, select a library you want to deactivate, and then click a recycle bin icon within that library record.
  3. As a result, the library is deactivated and not shown in the list of that section anymore. From now on, a user cannot select a future, current, and past job or search among skills defined in that library.
Delete-library

Remember to leave at least one library per category active.

If you try to deactivate a library currently used by smartPeople users, you are notified that deactivating the library provokes disconnecting those users from it.

If a skill library is connected to the job library which is currently active, you are not allowed deactivating such skill library. First, you must deactivate that job library for smartPeople, and only afterwards, you can deactivate the skill library.
